Introduction
The Patient Visits Report provides a summary of all Patient Visits within a specified date range. This report allows users to review Visit activity, including the procedures performed, charges applied, and any associated payments or adjustments.
Billing staff and administrators commonly use this report to verify Visit details, review billing activity, and monitor outstanding balances related to patient services.
The report displays key Visit and billing information, including CPT codes, charges, payments, adjustments, and the remaining balance for the selected reporting period.
Steps to Generate the Patient Visits Report
- Navigate to the Patient Visits section
- Click the Patient Visits tab in Practice Mate.
- Open the Reports menu
- Hover your mouse over Reports.
- Locate the report
- Click on Patient Visits Report.
- Select the desired report filters
- Choose the Visits date range for the visits you want to review.
- Apply any available filters to narrow the results as needed.
- Sort By is a key setting that will change the order in which the Visits are displayed on the generated report, making it easier to browse and manipulate if exporting to Excel.
- Run the report
- After selecting the appropriate filters, click Go to generate the report displaying Visit details for the selected period.
Steps to Understand the Report Results
- Review Visit details
- The report lists Visits that occurred within the selected reporting period.
- Review procedure information
- Each Visit includes the CPT codes associated with the services performed.
- Review billing information
- The report displays the charges applied for each visit.
- Review payment and adjustment activity
- Any payments or adjustments applied to the visit will be shown.
- Review the remaining balance
- The report calculates and displays the remaining balance for each visit after payments and adjustments have been applied.
This report helps users quickly evaluate visit activity, confirm billing accuracy, and identify any balances that may still need to be addressed.
Note: Data used for this report is collected hourly. The date and time the report was last updated is displayed above the filter options when running or viewing the report.
