How to Run Patient List Reports in Practice Mate and EHR

  If you need to generate a list of patients in Practice Mate or EHR, follow the steps below. There are two Patient List report options available depending on whether you need a print-friendly list or a CSV/Excel export.

Before We Begin

To access Patient List reports:

  • In EHR, navigate to the Patient Charts tab.
  • In Practice Mate, navigate to Manage Patients.
  • Hover over the Reports option in the top-right menu.
  • From the drop-down menu, select the appropriate Patient List report.

Steps to Generate the Patient List Report

  1. Access the Patient List Report
  • Hover over Reports.
  • Select Patient List (first option in the left column).
  1. Select Filter Options

On the next page, you will see several optional filter options at the top:

  • Account Type: Filter by Primary Insured or Dependent.
  • Status: Filter by Active, Bad Debt, Deceased, In Collection, Inactive, Payment Arrangement, or leave as All.
  • From Last Name: Filter patients by the first two letters of their last name (AA–ZZ).
  • Start Date: Filter when the patient was first seen (Month, Day, or Date Range).
  • Smoking Status: Filter by Smoker, Non-Smoker, or Unknown.
  • Primary Provider: Filter by Primary Care Provider.

Note: The provider must be set as the patient’s Primary Care Provider in the patient’s demographics for this filter to work.

  1. Generate the Report
  • After selecting any desired filters, click the Go button on the right.
  • The report will generate a list of patients along with key demographic information.
  • A Total Patient Count will appear at the bottom of the report.

Patient List (CSV/Excel Export) Report

If you need to export patient data, use the CSV/Excel version of the report.

  1. Access the Export Report
  • Return to Patient Charts (EHR) or Manage Patients (Practice Mate).
  • Hover over Reports.
  • Select Patient List (CSV/Excel Export).
  1. Select Filter Options

The available optional filters include:

  • Account Type: Primary Insured or Dependent.
  • Status: Active, Bad Debt, Deceased, In Collection, Inactive, Payment Arrangement, or All.
  • From Last Name: Filter by first two letters (AA–ZZ).
  • Primary Provider: Provider must be set as Primary Care Provider in patient demographics.
  1. Choose CSV Output File Format
  • Short Record: Same format as used in the Import Data Wizard (typically best for standard CSV exports).
  • Long Record: Includes Primary and Secondary Insured information.
  1. Generate the Export File
  • Click the Go button to generate and download the CSV file.

Using these two report options allows you to either view a filtered patient list directly within the system or export detailed patient demographic data for external use.
