Appointment Settings and Reports

In this article, we’ll take an in-depth look at the Options and Reports menus located at the top of the Appointments page.

Options Menu

In the Appointments tab, hovering over the Options menu reveals the following choices:

  • Appointment Page Settings: These settings affect how the Appointments tab will function for your practice.  
  • Show No. of Calendar: Choose to display either one or two calendar months at the top of the Appointments tab.
  • Show Office Daily Message: When this option is selected, a field for entering a daily internal office message will appear at the top of the Appointments tab.
  • Default View Page: Here, you can set the default view that appears when you navigate to the Appointments tab.
  • Daily Detail View Page: Here, you can select 'Custom View' from the drop-down menu, allowing you to choose the information displayed and the order of columns in the Daily Detail view.
  • Reminder Mate: Here, you can access the settings for Reminder Mate — a separate paid service that enables you to send appointment reminders via email, text message, and phone call. Special Dates and Events: To block or open the schedule for a specific office or user, follow these steps:
  • Add an Office Event:
  • Click the Add Office Event button.
  • On the next page, select the Office, choose the Date, and enter a Description.
  • Choose whether to Block or Do Not Block the schedule for that date.
  • Click Save/Update to apply the changes.
  • Add a Provider/Staff Event:
  • Click the Add Provider/Staff Event button.
  • On the following page, select the Office and the Provider or Staff user.
  • Set the Date or Date Range and the Time or Time Range.
  • Enter a Description.
  • Click Save/Update to complete the process.
  • Office Daily Message: Here, a message can be added to display for all or selected office locations by:
  • Clicking the Add Message button.
  • On the next page select your Office, Message Date and add the message.  
  • You can click the checkbox at the bottom to show the message to all offices.  

Reports Menu

The following reports are available when you hover over the 'Reports' option in the menu.

  • Daily/Weekly/Monthly Appointment Reports: View a list of all scheduled appointments within the selected timeframe. The Daily Appointment Report is often used to print an individual's schedule, providing an easy way to monitor appointments without needing direct access to a computer.
  • Appointment Reminder Logs: Monitor reminders sent through Reminder Mate and review patient responses.
  • Eligibility Verification Report: When Automated Eligibility is active, this will display the eligibility status for all appointments. The Automated Eligibility setting can be found under the Manage Office tab. Please note that this is an additional paid service.  
  • Patient Demographics Report: Generate a report for a specific patient that includes demographic details and any associated notes.
