How to Set Up EPCS: Approver Process

October 9, 2025

If you’re setting up Electronic Prescribing for Controlled Substances (EPCS) in Office Ally, both an Enroller and an Approver are required to complete the EPCS registration process. For this process to work, a second username is always required. The Enroller must be a separate user on the same account as the provider. The enroller can be a staff member but it’s important to know the requesting provider cannot be their own enroller.  If the provider is the only provider on the account, they can serve as the Approver. If another provider is authorized for EPCS, that provider must be designated as the Approver.

Below are the steps for both the Enroller and Approver to complete the EPCS setup.

Before We Begin

The provider must first request EPCS enrollment through their account before the Enroller and Approver steps can take place. See the article titled “How to Set Up an EPCS Enroller” we have for this process.

Steps for the EPCS Enroller

  1. Log in to Practice Mate or EHR
  • Use your Office Ally username and password as the Enroller to access the platform.
  1. Navigate to Manage Office
  • From the dashboard, go to the Manage Office tab.
  1. Select EPCS User Management
  • Under the e-Prescribe section, click EPCS User Management.
  1. Locate the Provider
  • Find the provider in the list and click the Enroll link next to their name.
  1. Complete Enrollment
  • Once the Enroll action is taken, the Enroller's part of the process is complete.

Steps for the EPCS Approver

Once the provider has completed ID Proofing, the Approver will take the following steps:

  1. Log in to Practice Mate or EHR
  • Use the Approver’s login credentials.
  1. Navigate to Manage Office
  • Click the Manage Office tab on the main men.
  1. Select EPCS User Management
  • Under the e-Prescribe section, select EPCS User Management.
  1. Approve the Provider
  • Locate the provider in the list and click the Approve link next to their name.
  1. Complete Approval Pop-Up

A pop-up window will prompt the Approver to:

  • Review and complete the form to confirm the requesting provider is legally authorized to prescribe controlled substances.
  • Enter the password for the username they are logged in with as an Approver.
  • Enter a one-time passcode from the Approver’s ID.me Authenticator app.

After Setup

If the provider is already active for prescribing non-controlled substances, they will now be enabled to prescribe controlled substances. .
