Using the Medication List in EHR 24/7

Office Ally allows you to easily manage patient medications while documenting or prescribing from within a progress note or directly through the Medication List. This guide will walk you through the different ways medications are added to a patient’s Medication List and how they can be managed from there.

Adding Medications through an Encounter

  1. Access the Patient Chart
  • Navigate to Patient Charts, search for, and select a patient.
  • Once the chart is open, hover your mouse over Progress Notes and select the layout you want to use from the Add Custom Progress Note / Encounter list.
  1. Locate the Current Medications Section
  • If the selected layout has Medication History enabled in the SOAP Layout, you will see a Current Medications section in the progress note.
  1. Search and Add a Medication
  • In the Current Medications section, click the Drug Search Select button to open the System Medication List.
  • Type the medication name in the search field and click Search.
  • Click Select next to the desired medication to add it to both the Current Medications section of the note and the patient’s overall Medication List.
  1. Enter Sig Information (Optional)
  • Click the plus (+) icon next to the medication to open a pop-up window.
  • Enter the medication details, including action, amount, dosage form, route, and frequency.
  • Click Update in the pop-up to save your entries.
  1. Save the Progress Note
  • Scroll to the bottom of the note and click Update to save all changes.

Adding Medications by Prescribing

  1. Access the Prescribed Medications Section
  • When editing a note, if your layout includes Medications, locate the Prescribed Medications section.
  1. Use Online e-Prescribe
  • Click the Online e-Prescribe button to open the Prescription Module.
  • As you send prescriptions to the pharmacy, those medications will automatically be added to the patient’s Medication List.

Managing the Medication List

  1. Access the Medication List
  • From the patient chart, hover your mouse over Medications in the top menu and click Medication List.
  1. View and Sort Medications
  • You can filter medications by:
  • Type:
  • P: Prescribed
  • C: Current Medication History
  • N: Currently No Medication History
  • Status: Active or Inactive
  • You may also check the box labeled "Don’t Show Duplicated Medications" to simplify your view.
  1. Edit Medication Details
  • Click Edit next to a medication to:
  • Add or modify Start or Stop Dates
  • Change the Status (Active or Inactive)
  • Add a Comment
  • Click Update to the left of the medication to save your changes.
  1. Deactivate (Instead of Delete) Medications
  • Medications cannot be deleted from a patient’s history.
  • To remove a medication from the Current Medications view, change its Status to Inactive. This will hide it from areas where current medications are displayed.

Tip: Keeping the Medication List up to date ensures accurate documentation, reduces prescription errors, and maintains a clear medical history for each patient.
