Using the Document Center

The Document Center allows you to access and manage a wide range of clinical and administrative documents across all patient charts. It also includes settings related to other features available in EHR 24/7. Below is a breakdown of the available sections and what you can do with them.

Encounters

  • View progress notes created for all patients.
  • Click on a patient’s name to open their chart directly.
  • Click the Encounter ID to open the progress note in a patient chart.
  • Click the View Billing Info icon to generate a summary of billing codes that carry over to a Patient Visit in Practice Mate.
  • Click the Pencil icon under Edit Billing Status to update the billing status.
  • Click the checkbox under Sign to sign the encounter.
    Note: Only users with the proper permissions can sign encounters. Once signed, this action is permanent.
  • Click the Route icon to send the document to another Office Ally user.
  • To perform bulk actions:

  • Select one or more encounters using the checkbox on the left.

  • Hover over Select Actions (top right) to:

  • Create a Patient Visit or Claim in Practice Mate.

  • View billing information for the selected encounters.

Orders

Hover over the Orders tab to access the following options:

  • View Lab/Radiology Order List

  • Displays all lab and radiology orders for all patients.

  • Submit lab orders electronically (for connected labs), or print labels/forms.
  • Add New Lab Order

  • Create a lab order for a selected patient.
  • Add Radiology/Other Order

  • Add a radiology or other type of order (like lab orders).
  • View Referral Order List

  • View, edit, delete, or print referral orders.
  • Add New Referral

  • Add incoming or outgoing referrals.
  • Blue Shield of California PPO Referral

  • Search for referral locations (ASC, Clinical Labs, Dialysis, DME) in California.
  • Patient Requests

  • Create and manage records of patient record requests.

Results Inbox

  • Displays incoming lab results that are not yet linked to a patient or require user review.
  • From here, you can assign results to the appropriate patient chart.

Medications

  • View a list of medications electronically sent via Office Ally.
  • Filter by patient or provider.
  • Print a copy of non-controlled substance prescriptions.
  • Access the eRx Notifications section, including:

  • Pharmacy Requests

  • Pharmacy Responses

  • Failed Transmissions

  • Pending Prescriptions

  • RX Worklist
  • These sections work with the e-prescribe (OARX) function in Office Ally.

Documents

  • View and manage documents by type:

  • Provider Documents

  • Intake Documents

  • Direct Documents
  • Upload documents to a patient chart (you must search for and select a patient first).

Education Resources

  • View a list of all patient education resources uploaded across patient charts.

Batches

  • Generate an EHI Report for an individual patient.
  • Export patient data in bulk using one of the following formats:

  • CCD

  • Transition of Care

  • EHI CCD

Reports

Available reporting options include:

  • Encounter Billing Status Report

  • Pulls data from Encounters, Patient Visits, and Claims/Billing in Practice Mate.
  • Encounter Summary by Providers

  • Lists encounter types and totals per provider.
  • Patient Data Measures Report

  • Generates a list of patient demographics (Name, ID, DOB, Age, Sex, Phone).
  • Patient Medications List

  • Shows the last 100 patients with a selected medication and when it was added.
  • Provider Most Used Diagnosis Codes

  • Lists diagnosis codes used by a provider within a selected time range.
  • PHI Disclosure Log

  • Record any instances of PHI disclosures made on behalf of a patient.
