Transfer Patient Encounter Feature

If a signed progress note is created on the wrong patient chart, you can use the Transfer Patient Encounter feature to move it to the correct chart. Please note that only users with administrative rights can access this feature.

Before We Begin

Ensure the encounter you are transferring is already signed. Encounters that have not been signed by the Provider cannot be moved using this feature.  Physician extender signatures do not affect the ability to edit the note or qualify for the Encounter to be moved using this tool.

It’s best practice to write down the two Patient IDs and the Encounter ID in question before beginning this process to ensure the correct note is moved to the correct patient chart.

Steps to Transfer a Patient Encounter

  1. Navigate to the Transfer Patient Encounter Feature
  • Go to the Manage Office tab.
  • Under the Admin Section, click on Transfer Patient Encounter.
  1. Select the Incorrect Patient Chart
  • In the From Patient ID field, select the Patient ID for the chart that currently contains the encounter needing to be moved elsewhere.
  1. Choose the Erroneous Encounter
  • In the Encounter ID field, select the specific encounter needed to be moved.
  1. Select the Correct Patient Chart
  • In the To Patient ID field, select the Patient ID for the correct chart where the encounter should be moved.
  1. Complete the Transfer
  • Click the Transfer Encounter button to finalize the transfer.
  • A confirmation message will appear once the transfer is successful.


Once transferred, signed notes can be transferred again if mistakes are made.
