How to Use Alerts and Health Maintenances in EHR 24/7

If you need to create user-generated patient notifications within EHR 24/7, there are two tools available: Alerts and Health Maintenances. Follow the steps below to set up and manage each type of notification.

While both Alerts and Health Maintenances are used as forms of reminders, there are a few key differences.  Alerts can be viewed and resolved during many workflows, including scheduling and billing.  Health Maintenances are more permanent -- not 'resolved’ as easily, and they can be scheduled to both appear after future dates and be recurring.

Before We Begin

Alerts and Health Maintenances can only be created from within a patient’s chart. Make sure you have the correct patient selected before continuing.

Creating and Managing Alerts

Steps to Create an Alert

  1. Navigate to Alerts
  • Go to the patient’s chart.
  • Hover over Others in the top menu.
  • Under the Alerts section, click on Alerts.
  1. Add a New Alert
  • Click the Add New button in the upper-right corner.
  • In the Alert Message field, type the message you want to display (up to 128 characters).
  1. Choose Display Settings
  • Under the Display Settings section, select where the alert should appear:
  • Demographics
  • New Appointment
  • Check-In
  • Check-Out
  • Patient Chart
  1. Set Alert Status
  • In the Alert Settings section, choose whether the alert is On, Off, or Resolved.
  1. Save the Alert
  • Click Update to save your changes.

Viewing and Managing Existing Alerts

  • After saving, you’ll return to the Alerts list on the patient’s chart.
  • Use the search bar at the top to sort or locate specific alerts.
  • Alerts will appear as pop-up notifications in the locations you selected during setup.

Adding and Managing Health Maintenances

Steps to Add Health Maintenance

  1. Navigate to Health Maintenances
  • Open the patient’s chart.
  • Go to Others > Health Maintenances.
  1. Add Health Maintenance
  • Click the Add New button.
  • In the Description field, enter the text that will appear in the alert.
  • Set a Due Date for when the alert should begin displaying.
  • Select a repeat interval from the Interval drop-down, if applicable.
  • Choose the alert Status (On/Off).
  1. Save the Health Maintenance
  • Click Update to save your changes.

Viewing and Editing Health Maintenances

  • After adding a Health Maintenance, you will be returned to the Health Maintenances list on the patient’s chart.
  • From this list, you can edit or delete any Health Maintenances you have created.

Adding a Health Maintenance from a Progress Note

You can also create a Health Maintenance alert while working in a progress note:

  1. Open the progress note for editing.
  1. In the Vital Signs section, locate the Health Maint. Alert button in the upper-right corner.
  1. Click the button and complete the setup using the same steps described above.
