Exporting Patient Encounters and Documents from EHR 24/7

If you need to export a patient Encounter from Office Ally EHR 24/7, there are two areas where this can be done: Chart Explorer and Chart Download. Follow the steps below to export individual Encounters or multiple at once.

Exporting from Chart Explorer

Use this option if you want to export one Encounter or Document at a time.

  1. Access Chart Explorer
  • Navigate to the patient chart and hover your mouse over the Others option in the top menu.
  • Click Chart Explorer from the dropdown menu.
  1. Export Progress Notes
  • On the left-hand menu, locate the Progress Notes section.
  • Click a specific year to expand it.
  • You will see a list of dates, each representing a single encounter.
  • Click on the desired date to open the encounter.
  • Click the small printer icon in the upper-left corner to print or download the Encounter.
  1. Export Documents
  • In the left-hand menu, locate the Documents section, organized by document type.
  • Click the plus (+) icon next to the document type to expand it.
  • Select a date to view the item.
  • Click the printer icon to print or download it.

Exporting Multiple at Once (Chart Download)

Use this option if you need to export several Encounters and/or Documents together.

  1. Access Chart Download
  • Navigate to the patient chart and hover your mouse over Others in the top menu.
  • Select Chart Download from the dropdown.
  1. Select Documents to Export
  • This page displays:
  • All patient Encounters
  • Uploaded Documents
  • Intake forms (listed separately toward the bottom)
  • Click the checkbox to the left of any item you want to export.
  • Use Select All or Unselect All in the upper-right corner if needed.

Important: Office Ally–created Intake Forms used with the patient portal cannot be printed or downloaded from this area, even if they appear in the list. Be sure to unselect them when using Select All before attempting to export.

  1. Print or Download Selected Files
  • After selecting your documents, use the options in the upper right:
  • Print: Opens a window where you can print or download the selected items as PDF files (this is the only format available).
  • Download: Prompts to create a password.
  • Your selected documents will be saved in a password-protected ZIP file, allowing for secure storage and transfer.
