Understanding the Office Ally Account Types

When using Office Ally, you may come across three types of usernames:  

  1. Parent
  1. Security Admin
  1. Child

Here’s a breakdown of the differences between them.

The Parent, Security Admin, and Child Usernames:

1. What is a Parent Username?

The Parent Username is your primary username and is created when you first sign-up for Office Ally.

  • Where to find it: Within the Classic Service Center, select Admin Section, Manage Users. The Parent Username will be the first account listed at the top of the User List, above your Security Admin Account.

2. What is a Security Admin Username?

To manage security and access within Office Ally, you'll need a Security Administrator account (commonly formatted as username_sa). This account is also created when you first sign-up for Office Ally and grants you access to essential features, such as updating contact information, managing user permissions, and viewing security audit logs.

  • Where to find it: Within the Classic Service Center, select Admin Section, Manage Users. The Security Admin Username will be the second account listed in the User List, under your Parent Admin Account.

3. What is a Child Username?

A Child Username is any additional account created under the Parent Username. This includes any other users such as providers or staff members who are added to the Office Ally account.

  • Where to find it: Within the Classic Service Center, select Admin Section, Manage Users. Child Usernames will be listed directly below the Security Admin Account in the User List.
  • Who creates it: A child account is created by the person managing the Security Admin Account.

Key Differences:

  • The Parent Username is the primary, original username created during sign-up. This username will always retain admin privileges, is able to submit claims, add patient information, review reports, and cannot be disabled by a security admin.
  • The Security Admin Username is the additional username created during sign-up. It provides access to crucial features, including updating contact information, managing user permissions, and reviewing security audit logs. This account has no claim or patient functionality.
  • Child Usernames are secondary accounts created for other users, like providers or staff, and are always linked under the Parent Username.
  • The security admin can also limit the child username's access to specific areas, such as SC/PM/EHR sections, classified charts, editing patient records, claims processing and more.  

Important Note:

The Parent and Security Admin accounts are set up when you enroll.  As a user, you can’t create additional Parent accounts, only child accounts.  The Security Admin is able to make changes to the Parent account.
